Streamlining UX Across a Big Pharma Operations Ecosystem

I led the UX/UI design for an ecosystem of seven operational applications supporting production, supply chain, and quality monitoring for one of the largest pharmaceutical companies.

challenges

The goal was to create a consistent, scalable user experience across multiple applications and parallel development streams, each with unique priorities.

results

  • Earned three client recognitions for outstanding contribution and impact on business operations.

  • Facilitated 10+ client workshops to understand user needs and refine product requirements.

  • Initiated and led the creation of a shared components library, driving design consistency across the ecosystem.

  • Became fluent with AG Grid, Highcharts, and Bootstrap to propose feasible and scalable designs.

target audience

Employees at manufacturing sites who rely on these applications to support the company’s daily operations.

my role & team

For the first six months on the project, I worked as the sole UX/UI designer, defining the design direction until an internal Design Lead joined.

I supported 7 cross-functional product teams:

  • Product Owner, Business Analyst, Dev Lead

  • FE and BE Developers, Data Engineers

  • QA Specialists

  • System Architect

process

We worked in two-week sprints using Scrum. I advocated for UX improvements across the ecosystem while addressing product-specific needs. I facilitated discovery workshops with Product Owners and end users, ensuring a deep understanding of their needs.

Client Feedback

I had the pleasure of working closely with Valentina during her time as part of the [Client] Design team, where she consistently demonstrated exceptional skills as a UX/UI designer. Valentina’s creativity, attention to detail, and user-centric approach were evident in every project she undertook.

Valentina played a pivotal role in various initiatives. Her ability to translate complex requirements into intuitive and visually appealing designs significantly enhanced the product user experience. She constantly showcased her expertise and dedication to delivering high-quality work.

One of Valentina’s standout qualities is her collaborative spirit. She seamlessly integrated with the team, always willing to share her knowledge and support her colleagues. Her proactive approach and excellent communication skills made her a joy to work with.

I highly recommend Valentina Lebedeva for any UX/UI design role. Her talent, professionalism, and passion for design make her an asset to any team.

Leveraging Shared Components for a New Application

During this project, I had the opportunity to both improve existing products and design new solutions from scratch. One key initiative was a new system for Quality Operations specialists aimed at optimising their daily workflows.

task

Understand business requirements and provide designs aligned with the workflows, pain points, and goals of the Quality Operations teams.

discovery workshop

I organised and facilitated a discovery workshop with multiple Quality teams to uncover key pain points, clarify operational workflows, and define user needs. The session resulted in a clear problem statement and prioritised user requirements.

scope definition

Working closely with the Product Owner and Business Analyst, we defined the essential features while the team still debated whether to use a BI platform or a custom Angular application.

leveraging shared components

Because the client's BI tools could not meet all requirements, I recommended building a standalone Angular application using the shared component library I had previously helped create.

Reusing these components enabled all the advantages of a custom application while preserving design consistency and reducing development effort.

prototyping

I created a high-fidelity prototype using shared components.

result

Design handoff. Before transitioning off the project, I provided a complete handoff package, including high-fidelity prototypes, detailed documentation, and links to shared components.

Efficient development. Reusing shared components enabled a flexible custom application while keeping the timeline manageable and avoiding rework.

Future-proof design. The system was designed for scalability to accommodate future business needs.
